UK Event Booking Terms & Conditions1. Booking & PaymentBookings for UK-based workshops and events are made directly with Toby Haseler trading as Sketch Loose (Sole Trader). Full payment is required at the time of booking to secure your place.

2. Cancellation & Refund Policy

  • More than 6 weeks’ notice (42+ days before the event start date): You are eligible for a full refund if you cancel your booking more than 6 weeks prior to the event.
  • Within 6 weeks of the event (less than 42 days): Bookings are strictly non-refundable. Because venue hire, guest limits, and preparation costs are committed in advance, we cannot offer refunds, partial refunds, or date transfers within this 6-week window regardless of the reason for cancellation (including illness, travel delays, or personal circumstances).

3. Ticket Transfers & Name ChangesIf you cannot attend and it is within the 6-week non-refundable period, you are welcome to pass your ticket on to someone else. Please inform us via email at least 48 hours prior to the event start date with the full name and contact details of the person attending in your place.

4. Event Cancellations by Sketch LooseIn the rare event that a workshop must be cancelled or rescheduled by Sketch Loose (e.g., due to tutor illness or severe venue issues), you will receive a 100% full refund of the workshop fee or the option to transfer your place to a rescheduled date. Sketch Loose cannot be held liable for any independent travel, accommodation, or incidental costs incurred.

5. Personal Belongings & InsuranceWe strongly advise all participants to take out personal insurance to cover independent travel, accommodation, or last-minute personal cancellations. Participants remain responsible for their own art supplies, personal property, and belongings throughout the duration of the event.

  • Process and fulfill your UK workshop bookings.
  • Send you event updates, venue details, and essential workshop communications.
  • Maintain business and tax records required by UK law.

4. How We Collect Data & Third-Party Services

Your data is processed using trusted third-party providers:

  • Website Platform: Our site is hosted on Site123, which processes site interactions securely.
  • Payments: Financial transactions are processed securely via Stripe or PayPal. They handle your payment credentials in compliance with PCI-DSS standards.
  • Newsletter & Mailing List: We do not run a newsletter directly from this site. If you choose to subscribe to our mailing list, you will be directed to subscribe via Podia, where your email is stored securely according to Podia's privacy policy.
  • Overseas Retreats: For international retreats, we do not collect or pass your data to third parties. You will be directed to enquire directly with the independent overseas tour operators.

5. Legal Basis for Processing

Under UK GDPR, we process your information under the following bases:

  • Contractual Necessity: To fulfill ticket orders and provide workshop services.
  • Legal Obligation: To retain accounting records for HMRC.
  • Consent: Where you explicitly choose to subscribe to our Podia mailing list.

6. Data Retention

We keep order and transaction data for up to 7 years to comply with UK tax and accounting regulations. Marketing preferences held on Podia remain until you unsubscribe.

7. Your Rights
